The changes took effect on March 1, 2022, but users continued paying their current contracted price until their license was up for renewal. From this renewal date onwards, they have been paying the new amended price. All new customers after March 1, 2022, have had to pay the increased rate.

Navigating Microsoft’s Pricing and Licensing Changes for Office 365 and Dynamics 365 – Canada

Microsoft recently announced price changes to its Office 365 (O365), Microsoft 365 (M365), and Dynamics 365 (D365) cloud products available in the Cloud Solutions Provider (CSP) program, effective in March 2022. This includes a price increase on certain M365 & O365 products, and new licensing options for D365 that may impact customer budgets.  This article summarizes the changes and potential impacts to Microsoft licensing strategies for Canadian clients:

  • What did Microsoft change, and why?
  • Which prices are increasing, and when?
  • What other changes did Microsoft make?
  • How can I optimize spend on Microsoft licenses going forward?

Below is critical information to consider as you weigh options for renewing your Microsoft cloud subscriptions as part of the New Commerce Experience (NCE)in 2022.  We encourage you to contact Stoneridge Software to discuss your situation! What is the Change to New Commerce Experience & Why

This year Microsoft is launching its “ New Commerce Experience” (NCE) for the Cloud Solution Provider program , which includes a price increase on certain O365 & M365 licenses, and new pricing options for D365.  Microsoft explains that the pricing for its Office products has not changed substantially in the last 10 years, while in the meantime they’ve added many valuable features such as communication & collaboration tools, security & compliance options, plus AI & automation capabilities. 

NCE does provide a price break in exchange for a customer’s commitment to maintain (or increase) their license quantities on either a 12 or 36-month subscription until end of term, or alternatively, NCE charges a higher premium price on monthly subscriptions if flexibility is needed to reduce license quantities more frequently. 

Which Prices are Increasing and When?

Per-user pricing for the following subscription licenses will increase in March 2022:

If you are looking for Microsoft U.S. pricing read this article.

Note that your current CSP pricing is protected until your subscriptions expire.  To ease transitioning to the new model, Microsoft has extended the date that renewals must be placed on the NCE program from March 2022 until July 2022.  Until then, renewing customers have the option to utilize the legacy CSP licensing options if they prefer (see also ‘Strategizing Costs’ below).  

In contrast, any net-new orders must be placed on NCE starting in March 2022.  Microsoft has also launched two temporary NCE promotions:  1) a waiver of the increased monthly NCE pricing until July 2022, and 2) a -5% discount on the annual NCE pricing if the subscription is purchased before the offer expires in March 2022 (note - Microsoft says it may consider extending the latter offer up to June 2022).

What Other Changes Did Microsoft Make?

NCE products are available in monthly, 12-month (annual), or 36-month (multi-year) subscriptions that can be paid on a monthly basis or prepaid annually.  In each of these scenarios, the customer is committed to the original license quantities for the entire subscription term .  NCE license quantities can be increased but not decreased until the subscription renews, and a subscription cannot be cancelled mid-term. 

This is very different from the legacy CSP model in which license quantities could be added or reduced as needed, and subscriptions could be cancelled at any time.  It’s a significant change that can impact a customer’s license planning & budgeting cycles, and care should be taking prior to subscription renewals to strategize the ongoing costs.

Strategizing Your Renewal Costs

The scenarios outlined below can help you consider options for your next renewal:

  • Legacy CSP Renewal.  If your subscription expires prior to July 2022, you have the option to renew it using the legacy CSP licensing model.  Advantages include flexibility to reduce license quantities for another 12 months, or with some products up to 36 months, and if the subscription renews before March 2022 this may also preserve your original pricing on some products.
  • Scenario 1 – monthly NCE.  If you need flexibility to reduce quantities with all of your licenses, you should plan on at least a +20% price increase in your annual budget.  See the examples below.
  • Scenario 2 – annual NCE.  If your employee count is highly stable from year to year, you may want to consider the annual license.  A key difference is you can add but not reduce license quantities during the subscription term, and you cannot cancel the subscription until it expires naturally.  If your subscription renews before March 2022, an advantage may include preserving your original pricing on some products – see the examples below.
  • Scenario 3 – blend of monthly and annual NCE.  If your business has some predictable seasonality, you may want to consider having a portion of your licenses on the higher-priced monthly subscription to allow reductions as needed.  For example, if one-fourth of your workforce is only needed on a seasonal basis, then ~25% of the licenses could be on monthly subscriptions and the remaining licenses for your core employees committed on annual subscriptions.  As you can see in the example below, this approach may help you minimize impacts of the increased prices.

If you're looking to buy Microsoft 365, you should know that this is a subscription-based service. The prices below are for your first year for one user to use on one PC, along with a tablet or mobile too (for the Personal one) or up to six users (on the Family bundle).

The advantages of using Microsoft 365 include having access to all the latest versions of programs in the Microsoft Office suite and having 1TB of online storage, courtesy of one of the best cloud storage providers on the market, OneDrive .

The latter is particularly useful for editing documents on the go. So you could go from writing on the laptop/desktop to making a few changes or crucial last-minute updates on your mobile or tablet.

You don't get the fancier cloud-based features and multi-device support that you do with Microsoft 365, but this can work out much cheaper in the long run. 

As is usually the case, the cheapest option for Office 2021 is the "Home & Student" Edition, which comes with a single-user license, allowing you to install the Office suite of apps on one device. It still comes with all the essential Office apps that are suitable for most users' needs: Word , Excel , PowerPoint , Outlook , Access , Publisher , and OneNote.

Microsoft Calling Plans for Teams

Microsoft provides complete Private Branch Exchange (PBX) capabilities for your organization through Teams Phone System. However, to enable users to make calls outside your organization, you need to connect Phone System to the Public Switched Telephone Network (PSTN) by selecting a calling plan.

This article describes Phone System with Microsoft Calling Plan--Microsoft's all-in-the-cloud voice solution for Teams users. This solution is the simplest option that connects Phone System to the PSTN for external calling. With this option, Microsoft acts as your PSTN carrier.

Microsoft Calling Plan options include the following:

Domestic Calling Plan

International calling plan, pay-as-you-go calling plan.

To decide which option is right for your organization, ask yourself the following:

  • Are Calling Plans available in my area? Which user locations will have Calling Plan service?
  • Do my users need international calling?
  • If some of my users don't make a significant number of outgoing calls, is the Pay-As-You-Go Calling Plan the most economical option for them?

All users in the same country/region with the same Calling Plan share a pool of minutes. For example, if you have 100 users located in the same country/region with a 120 minutes Domestic Calling Plan assigned, they share a pool of 12,000 minutes. All calls exceeding these minutes are billed per minute. Pooling is only available on identical Calling Plans.

The country/region is based on the location of the user's license in the Microsoft 365 admin center > Active users and NOT the billing address listed under the Organization Profile in the Microsoft 365 admin center .

With the Domestic Calling Plan, licensed users can call out to numbers located in the country/region where they're assigned in Microsoft 365. Unlimited incoming minutes are included. Outgoing minutes are included based on the license purchased.

There are three Domestic Calling Plan options to choose from:

Domestic Calling Plan Zone-1 US : For users in the United States and Puerto Rico.

Domestic Calling Plan Zone-1 Canada/UK : For users in Canada and the United Kingdom.

Domestic Calling Plan Zone-2 : For users in Austria, Belgium, Croatia, Czech Republic, Denmark, Estonia, Finland, France, Germany, Hong Kong, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Netherlands, New Zealand, Norway, Poland, Portugal, Romania, Singapore, Slovakia, Slovenia, South Africa, Spain, Sweden, and Switzerland.

The International Calling Plan includes both domestic and international minutes for outbound calls. Domestic minutes allow users to call numbers in the country or region where their Microsoft 365 license is assigned. International minutes allow users to call international numbers in 196 countries/regions . Unlimited incoming minutes are included. Outgoing minutes are included based on the license purchased.

With the Pay-As-You-Go Calling Plan, licensed users can call out to numbers located in the country/region where their Microsoft 365 license is assigned to the user based on the user's location, and to international numbers in 196 countries/regions .

Unlimited incoming minutes are included. No outgoing minutes are included. All outgoing calls are charged based on the minutes used, either with Communication Credits or post-usage billing (for new commerce experience calling subscriptions only). Licenses are assigned to users based on their location.

There are three Pay-As-You-Go Calling Plan options to choose from:

Pay-As-You-Go Calling Plan Zone 1 - US : For users in the United States and Puerto Rico.

Pay-As-You-Go Calling Plan Zone 1 - UK & Canada : For users in the United Kingdom and Canada.

Pay-As-You-Go Calling Plan Zone 2 : For users in Austria, Belgium, Croatia, Czech Republic, Denmark, Estonia, Finland, France, Germany, Hong Kong, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Netherlands, New Zealand, Norway, Poland, Portugal, Romania, Singapore, Slovakia, Slovenia, South Africa, Spain, Sweden, and Switzerland.

Zone 2 licenses aren't currently available for sale in the United States and Puerto Rico.

Mexico has its own Pay-As-You-Go Calling Plan. It's not part of any zone. You must purchase the independent Pay-As-You-Go Calling Plan for Mexico.

How to buy Calling Plans

You must first purchase a Phone System add-on license . To do that, sign in to the Microsoft 365 admin center and choose Billing > Purchase services > Add-on subscriptions > Buy now .

Depending on your plan, you may need to buy more add-ons before you can buy Phone System licenses. To learn more, see Microsoft Teams add-on licensing .

After you buy Phone System licenses, you can buy a Calling Plan by signing in to the Microsoft 365 admin center and choose Billing > Purchase services > Add-on subscriptions , and then selecting Buy now .

You can buy and assign different Calling Plans to different users, depending on the needs of your organization. After you select the Calling Plan you need, proceed to checkout. You assign a plan to each user in the Microsoft 365 admin center. To learn how, see Assign Microsoft Teams add-on licenses .

How to fund a Pay-As-You-Go Calling Plan

Pay-As-You-Go Calling Plans don't have a set number of outgoing call minutes like the Domestic or International Calling Plans. Instead, some admins may need to take additional steps to fund their Pay-As-You-Go Calling Plan. Until the Pay-As-You-Go Calling Plan is properly funded, users won't be able to make outgoing calls.

There are two ways you can fund and use minutes with a Pay-As-You-Go Calling Plan:

Purchase the Pay-As-You-Go Calling Plan through the new commerce experience (NCE)

  • Customers who purchased their calling plan through the new commerce experience are able to pay for the outgoing call minutes they used in the previous month. This is also called post-usage or post-consumption billing.
  • For instructions on purchasing a calling plan through the new commerce experience, see Enable pay-as-you-go for your subscription and New commerce overage for telco pay-as-you-go .

Purchase Communication Credits

  • This option is for customers who didn't purchase their calling plan through the new commerce experience (NCE). These customers need to purchase Communication Credits to fund their Pay-As-You-Go Calling Plan.
